MASTERPIC ™ :  CAROUSEL FILING SYSTEMS INTERFACE MODULE

MasterPic™ is Filing Acumen’s newly created Giroclass and Electric Mobiclass Carousel Filing Systems interface module. MasterPic™ is designed to integrate with MasterTrak Plus™ as a total solution. After an easy initial custom set-up routine is completed, MasterPic™ fully automates the retrieval and re-file functions for various electrically powered carousel style filing systems. The MasterPic™ interface screen allows users to look up records using the same searching criteria as on the MasterTrak Plus™ software screen. Using the record look up or search result alone, MasterPic™ instantly and automatically moves the carousel filing system to the appropriate shelf or location for item retrieval and then awaits the next instruction.

Within the MasterTrak Plus™ software, files can be requested. These File Request Slips can be printed out to be used as pick lists, Routing Slips or markers in an Outguide. The MasterPic™ interface also directly enables users to make file requests, but instead of prompting a printout, the system creates a request buffer from which records are automatically retrieved. This makes the retrievals process much faster.

All the user has to do is press Retrieve Requests button on the MasterPic™  user interface screen and the carousel will automatically move to the next file in the request list, and wait for the user to press NEXT. The request list is processed in shelf number order.

MasterPic™ is installed as a fully integrated component of MasterTrak Plus™. MasterTrak Plus™ is the Filing Acumen Records Management system which allows users to check records in or out, using barcodes or RFID and to print colour coded filing labels etc. MasterTrak Plus™ works seamlessly with the Filing Acumen RFID DeskMate™ software/hardware products to automatically track files as they are used and moved around the office.

A fully integrated system using MasterPic™, MasterTrak Plus™ and DeskMate™ will completely handle all automation requirements of the NEW technically efficient file room.

PORTATRAK :  PORTABLE RFID TRACKING SOFTWARE

PortaTrak RFID is a software module which resides on the RFID Portable Reader, PortaReader. PortaTrak allows the user to check items Out/In as well as take complete physical inventories, using Barcodes, RFID or both. Scanning items with RFID is at least 5 times faster than scanning barcodes one at a time. PortaTrak RFID enables the user to read 10 tagged items per second or more.

Taking a physical inventory has never been easier. Just pull the trigger and pass over the row of items slowly, reading everything as you pass. No more pulling the trigger for each item barcoded.

PortaTrak give every user, mobility and allows more flexibility by taking the device to the work instead of having to bring whatever needs to be scanned back to a workstation.

PortaTrak has a Find feature, which allows the user to enter the ID of the item they are looking for. As they walk around the work area, they can read tags with the RFID reader. When the desired item is found, it will beep and indicate on the screen that the item has been found.

Converting from the Barcodes to the RFID is simple. PortaTrak can write (encode) to RFID labels, and by scanning the barcode, PortaTrak RFID will write the barcode number into RFID label (chip).

PortaTrak saves time when checking the location of a file. When a file is needed, a simple check of the database determines its present status, instead of manually looking on the shelf for the file or looking through a card index system to see who has it. This makes PortaTrak a much more efficient system.

WHAT IS CHECKMATE™ AND HOW DOES IT WORK?

CheckMate™is a system consisting of a computer Powered kiosk which has a Touch Screen, Barcode Reader and RFID Reader.  CheckMate™plugs into your Network and    interfaces with your existing Records Management System.  Records folders are Checked In and Out just like they were scanned with a barcode scanner, only faster and by the users, not Records Management personnel.

Each folder is labeled with an RFID label inside the front or back flap, which has the barcode number encoded in it. When the folder is “read” by the RFID reader, it matches the barcode and with the CheckMate™ software, it checks out the Folders to the proper User, just as if the barcode was scanned.

For Checking Folders back into the file room, the CheckMate™ station is fitted with an RFID reader.  CheckMate™ “reads” the RFID tags in the folders as they are placed on the kiosk workshelf.

The beauty of RFID is that multiple Folders can be scanned at once.  With RFID, Self Check In and Out stations are possible where barcodes must be seen and scanned, one at a time.

To create your own RFID Folder Labels, the CheckMate™ system has an RFID printer.  The CheckMate™ RFID printer can print one label at a time or all items contained in a data file.

CONVERSION: HOW DO I CONVERT TO RFID?

 

Filing Acumen can provide your initial batch of labels for you to apply to your existing folders or we can send the labels to your folder distributor for them to apply for new folder purchases.  After your conversion, you can print your own labels as you create NEW folders for new records.

When a user wants to check a folder out, they simply “touch” the START button on the touch screen and places the Folder(s) on the CheckMate™ Kiosk at the RFID spot and scan their ID card.  CheckMate™ takes care of the rest. If your Records Management department imposes a folder limit, CheckMate™ can also checks how many folders the user has currently checked out and enforces the limit that is established. If there is a problem, CheckMate™ can speak to the user, saying “there is a problem, please see the Attendant”.  The CheckMate™ voice is recorded by the Records Management and can be customised.

Because CheckMate™ also checks file folders IN as they are dropped into the kiosk work shelf, the user can check their limit of folders/records out immediately.  The Self Check IN and OUT feature of CheckMate™ will eliminate having Records Management personnel being tied to the checkout desk. CheckMate™ is truly the Records Management department ultimate assistant.

WHAT IS BOOKMATE™ AND HOW DOES IT WORK?

BookMate™ is a system consisting of a computer Powered kiosk which has a Touch Screen, RFID and Barcode Reader. BookMate™ plugs into your network and interfaces with your existing library system. Personal Profile

Georgina Ashdown

Georgina is the newest recruit to Filing Acumen and in a very short space of time, understands that marketing is the life blood of any organisation and not just going out and selling.  Georgina’s natural flair with one liners has made a real impact on Filing Acumen, especially as she’s constantly on Twitter and other social networks.

Background:

How long in the industry?  It’s only been 6 months, but it’s been an interesting 6 months. I had no idea there was so much involved in implementing mobile shelving and filing systems and the many wonderful ways to make filing easier like implementing something simple like Colour Coded filing.

What drives you? The ambition to go above and beyond everyone’s expectations.

Highs and lows? The lows are hitting a brick wall, but the highs always out weight the lows, just knowing that what you are doing is achieving something whether it’s having a big impact or small impact, its working and that’s what counts.

Personal:

Relationship Been with my fiancé for a number of years and we have a beautiful daughter and a cat called Elvis

Hobbies/interests  I love running and find that I’m in competition with myself each time to go that litter bit further, 7 and half miles is the furthest this year so far.  And baking, my daughter and I love to bake, we have mastered the cheese cake and the muffins but we have yet to master cookies, they always seen to spread into one giant one.

Something not many people about you? I don’t like talking about myself and find it even worse filling out personal profiles.
