CheckMate™is a system consisting of a computer Powered kiosk which has a Touch Screen, Barcode Reader and RFID Reader.  CheckMate™plugs into your Network and    interfaces with your existing Records Management System.  Records folders are Checked In and Out just like they were scanned with a barcode scanner, only faster and by the users, not Records Management personnel.

Each folder is labeled with an RFID label inside the front or back flap, which has the barcode number encoded in it. When the folder is “read” by the RFID reader, it matches the barcode and with the CheckMate™ software, it checks out the Folders to the proper User, just as if the barcode was scanned.

For Checking Folders back into the file room, the CheckMate™ station is fitted with an RFID reader.  CheckMate™ “reads” the RFID tags in the folders as they are placed on the kiosk workshelf.

The beauty of RFID is that multiple Folders can be scanned at once.  With RFID, Self Check In and Out stations are possible where barcodes must be seen and scanned, one at a time.

To create your own RFID Folder Labels, the CheckMate™ system has an RFID printer.  The CheckMate™ RFID printer can print one label at a time or all items contained in a data file.



Filing Acumen can provide your initial batch of labels for you to apply to your existing folders or we can send the labels to your folder distributor for them to apply for new folder purchases.  After your conversion, you can print your own labels as you create NEW folders for new records.

When a user wants to check a folder out, they simply “touch” the START button on the touch screen and places the Folder(s) on the CheckMate™ Kiosk at the RFID spot and scan their ID card.  CheckMate™ takes care of the rest. If your Records Management department imposes a folder limit, CheckMate™ can also checks how many folders the user has currently checked out and enforces the limit that is established. If there is a problem, CheckMate™ can speak to the user, saying “there is a problem, please see the Attendant”.  The CheckMate™ voice is recorded by the Records Management and can be customised.

Because CheckMate™ also checks file folders IN as they are dropped into the kiosk work shelf, the user can check their limit of folders/records out immediately.  The Self Check IN and OUT feature of CheckMate™ will eliminate having Records Management personnel being tied to the checkout desk. CheckMate™ is truly the Records Management department ultimate assistant.
